Draft. To be reviewed by a UK solicitor before public launch.

This policy explains what personal data inevitableAI Studio (the "Service") collects, why, who receives it and what rights you have. We only collect what we need to run the Service.

3

The personal data we collect

CategoryExamples
Account dataYour name, email address, workspace name and role, and your password, which we store only in hashed form.
Your contentThe prompts you write, the files you upload (such as product photos, logos and clips) and the images and videos you generate.
Usage dataA record of each generation (model, settings, credits spent, status), your credit balance and history, monthly limits set by your workspace admin, prompts or outputs blocked by our safety checks, and the time of each studio assistant question.
Billing dataYour plan and the reference numbers our payment provider gives us. It handles payments, so we never see or store your full card details.
Free-credit checksA scrambled code made from your network (IP) address, never the address itself, a simplified form of your email address (for example, without dots or "+" tags in Gmail addresses), and a one-time link to confirm your email.
Technical dataWhen you visit, our hosting provider processes your IP address and basic request information to deliver pages and protect against attacks. We use no analytics or advertising trackers.

We do not ask for sensitive personal data. Please do not include it in prompts or uploads. We remove hidden metadata such as location and camera details from uploaded photos before storing them, but not from videos.

4

How we collect it

  • Directly from you, when you create an account, write a prompt, upload a file, use the assistant or email us.
  • Automatically, through the Service's records, our hosting provider's request handling and the cookie described in section 8.
  • From others, such as a workspace admin who adds you to a team, and our payment provider when you pay.
5

How AI generation uses your data

When you generate something, your prompt and any files you choose to use are sent to one of the AI providers listed in section 9, only so it can create your output. We don't send your name or email address with them. We do not use your prompts, uploads or outputs to train AI models.

Prompts are checked automatically against our Acceptable Use Policy. Uploaded files and generated results are sent to a safety-checking service that scans them for explicit content, and results are also blocked when an AI provider flags them. Blocked uploads and results are removed. A request can be blocked without a person reviewing it, and automated checks can make mistakes. If you think a request was blocked by mistake, email us and a person will review it. These checks do not have legal or similarly significant effects on you.

Studio assistant. Your message, and the last few messages of that conversation, are sent to an AI language model through one of those providers, only to write a suggested prompt and settings. We do not store assistant messages. We only record that a question was asked and when, to apply the daily limit.

7

How long we keep it

  • Generated images and videos: deleted automatically after 90 days, unless you mark them as favourites.
  • Uploaded brand files: until you or your workspace delete them, or the account is closed.
  • Account and usage data: while your account is open. When you ask us to close it, we delete it within 30 days, except what we must keep by law.
  • Billing records: 6 years, as required by HMRC.
  • Network code and assistant question records: 30 days.
  • Email confirmation links: they expire after 48 hours.
  • Password reset links: they expire after one hour.
  • Failed logins and reset requests: kept for up to a day as scrambled codes, to slow down password guessing.
  • At our main AI provider: it tells us generated files are kept for 14 days and system logs and task records for about 2 months.
8

Cookies and browser storage

We use one strictly necessary cookie, sid, which keeps you logged in for up to 30 days or until you log out. We also keep a small note in your browser for the current session so the opening animation only plays once, and the signup form uses a security check from our hosting provider to tell people from bots.

We use no analytics, advertising or tracking cookies.

International transfers

Some of these providers process data outside the UK, including in the United States. You can ask us for details of the safeguard used for a specific provider at info@techmegatrends.com.

[Solicitor to confirm the transfer safeguard for each provider before launch.]

11

Security

Uploaded and generated files are stored in the European Union. Passwords are stored only in hashed form, all traffic is encrypted, and your files are served through private, time-limited links. Only people who need access to run the Service can reach your data. No system is completely secure, but if a personal data breach is likely to put your rights at risk, we will notify the ICO and, where required, you.

12

Your rights

You can ask us to:

  • give you a copy of your personal data;
  • correct data that is wrong or incomplete;
  • delete your data in certain circumstances;
  • restrict how we use it, or object to our use of it based on legitimate interests;
  • send data you gave us to you in a portable format.

Email info@techmegatrends.com. We may need to confirm your identity first. We reply within one month, and it is free unless a request is clearly unfounded or excessive.

13

Complaints

Please contact us first and we will try to put things right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

14

Age limit

The Service is for people aged 18 or over. We do not knowingly collect data from children.
